Assistant Director of Alumni Affairs

DEPARTMENT: Office of Alumni Affairs

Plan and coordinate alumni events. Recruit, coordinate and track volunteer, student and staff support for special events and activities. Create and maintain budgets and invoicing. Manage vendor relations. Support Board, volunteer activities and committee meetings. Maintain and grow affinity partnerships and develop new membership benefits. Develop methods to increase and track alumni participation. Build and maintain accurate alumni information. Update and manage membership materials. Maintain inventory of alumni premium items, gifts and sales items. Assist with identification of content, research, write and coordinate creative for alumni communications and invitations. Special projects as directed.


The Assistant Director will report to the Director of Alumni Affairs. Responsibilities will revolve largely around Membership Development, Volunteer Management, Event Management, PR, affiliate management, membership development and communications.

Membership Development

Develop and implement member registration campaigns, profile update campaigns, and volunteer campaigns.  

Collect, maintain and update accurate and robust alumni information.Recommend and implement programs to help cultivate more alumni.Staff and support Board, committees, volunteers and assist with meetings, projects and activities.Develop membership materials (e.g. letters, new member welcome packs, newsletters, website, fact sheets, manuals, and brochures.

Manage affinity relationship program; identify new relationships; develop budget reports for each affinity. Research and recommend new membership benefitsCoordinate special projects as directed.

Volunteer Management

Take leadership role on projects in which alumni volunteers will participate; Coordinate with appropriate UNO departments; Create (or obtain) and communicate volunteer instructions, logistics, orientation materials; Recruit and track alumni participation.Develop and implement volunteer management tracking system to report metrics including hours, number of volunteers, number of first time volunteers and etc.Maintain quality volunteer stewardship post efforts.

Event Management

Coordinate Alumni Association events from planning with Event PlannerSolicit sponsorships and donations for eventsCoordinate on- campus and off-campus events in which the alumni association participatesRecruit and coordinate volunteer, student and staff support for special events and activitiesCreate and maintain budgets and manage and track invoicing processOversee creative process for event marketing materials and invitations both print and electronicWrite scripts, staging, logistics documents, etc.Create event metrics and develop trend analysis reports.

PR and Communications

identify and draft content for alumni publications and marketing materialsassist with articles and data for alumni publications

assist with implementation and maintenance of social media communicationsremain current with University news, events, etc. as well as with Association news, events, etc.

Recommend, design merchandise to appeal to alumni audiences. Work with vendors to order merchandise, negotiate pricing, track invoices. Prepare and maintain budgets. Work to expand and grow gift shop inventory and sales to increase revenue. Review and streamline gift shop sales processes. Oversee gift shop inventory and sales.

Other duties as required.


Bachelor's Degree with at least three years of professional experience. Must have exceptional communication skills including excellent writing and editing. Fluent with Microsoft office (Word, Powerpoint and Outlook) and social media. Event management experience. Experience with Raisers' Edge or similar databases a plus. Must be detail oriented, highly organized, able to prioritize and juggle multiple tasks successfully. Experience working with Boards, committees and volunteers is a plus. Experience with budgeting a plus. Experience with graphic design, print media and photography a plus. Must be self-starter, able to take initiative. Must be willing to work some nights and weekends as needed. Must have positive, customer service-oriented attitude and be a team player.
